1. The header buttons
| Report | Sales by day, week, month or year to date. Search and email reports. |
| Payments | Card processing setup and texted receipts. |
| Stay on | Keep the screen from dimming while the counter is open. |
| Refund | Find a sale by transaction number or receipt scan, and refund it. |
| Items & pricing | Your catalog, taxes, card fee and refund rules. |
| Receipt icon | POS fees and charge history. |
2. Set up items & pricing
- Tap Items & pricing.
- Add each item you sell: wash & fold, comforters, detergent, dry-clean shirts and so on. For each one choose Sold by: per item or per pound.
- Mark items Taxable if they are, and set your Sales Tax rate.
- Optional: a Card Processing Fee surcharge (capped at 4%), a Pickup & Delivery fee for POS jobs, and Allow refund without a receipt.
Items marked "PUD N/A" (pickup & delivery not applicable), such as a box of detergent, ring up as a plain counter sale with no job details.
3. Choose card processing
Open Payments. You have two options, and can switch later:
sudsHQ card processing
Works now, with no setup. 3.99% + $0.45 per card sale is added to the customer's card total. You get the full sale plus tax, paid daily to your payout bank.
Your own Stripe account
About ten minutes. Follow the in-app setup guide: test mode first, then your API keys and webhook. Saving keys asks for an SMS code. Card money goes to your own Stripe account.
4. Connect a receipt printer
- Go to Account → Receipt Printer.
- Choose a network (ESC/POS) receipt printer on your shop Wi-Fi.
- No printer? sudsHQ falls back to your phone's normal print sheet.
5. Ring up a sale
- Tap item tiles to add them to the cart.
- Per-pound items are yellow. Put the bag on the scale first, then tap the tile and type the weight.
- Counter-only items go straight to payment. Anything else opens Job Details (next lesson).
- Choose Cash or Card. Made a mistake? Clear empties the cart.
6. Drop-off & delivery jobs
When the customer is leaving laundry with you, the Job Details sheet records it:
- Service Type: Drop-off & Pickup (they bring it and collect it) or Pickup & Delivery (you collect it and bring it back).
- Times: Dropped off and Ready for pickup, or a pickup time and Deliver by.
- Customer name, phone and Email (for receipts), plus addresses for delivery jobs.
- Notes (internal) for your staff only.
- Tap Continue to payment.
These jobs appear in your Operations tab alongside your online orders, so one list shows everything that's due.
7. Take cash
- Tap Cash.
- Enter Cash received. The till shows Change due.
- Tap Complete Sale. The receipt and bag label print.
8. Take a card
Tap Card. There are two ways:
- Customer scans: a QR code appears. The customer scans it with their phone camera and pays on their own phone.
- Take their card: type the card into your device on the secure Stripe payment sheet.
There's no card reader or tap-to-pay hardware to buy.
9. Receipts, bag labels & texted receipts
- Every sale prints two slips: the customer receipt and an in-store bag label with the transaction number. Tape the label to the bag so nothing gets mixed up.
- Texted receipts: type the customer's phone number before they pay. Add your own Twilio details under Payments → Texting to send automatically. Without Twilio, sudsHQ opens your phone's Messages app with the receipt ready to send.
10. Refund a sale
- Tap Refund.
- Scan the receipt, or type the 8-digit transaction number.
- Refund the whole sale, some of the items, or part of one item.
No receipt? That's only allowed if you turned on Allow refund without a receipt in Items & pricing.
11. Reports & the daily email
- Tap Report to see sales by day, week, month or year to date. Search for a specific sale.
- Turn on Email a daily snapshot. Yesterday's sales arrive at 1am, and quiet days are skipped.
- Need it now? Email this report now, or Share as PDF instead.
For the whole month, Account → Deposits shows an MTD summary of POS and online sales together.
12. POS fees
- Your first 99 POS sales are free.
- After that, a small per-transaction platform fee may apply to cash and own-Stripe sales. It's shown to the customer under "Tax and fees" and billed back to you in batches on a card you save. Sales run through sudsHQ card processing don't carry it.
- See what you've been charged under the receipt icon.
If a fee payment fails, you'll see "POS fees unpaid — new sales are paused." Add a card to start selling again. Refunds keep working in the meantime.
13. Stay on at the counter
Tap the Stay on sun button on the till to stop the screen from dimming while you're open. It's off by default because it uses battery, and it doesn't stop the phone from locking, so keep the device plugged in.
